2. Categories of personal data

When you use posao.de as a candidate or employer, we may process the following categories of data:

  • Account data: name, surname, email address, hashed password, username, and role.
  • Candidate profile or CV data: contact details, city or region, country, work experience, education, certificates, skills, languages, desired position, desired location, professional profile links, and other information you voluntarily provide.
  • Employer data: company name or contact person, business email address, business phone number, registered address, and job posting content.
  • Technical data and logs: IP address, access date and time, URL, browser information, and device information.
  • Cookie data, including location cookies where needed for locally relevant job postings and content.

Please do not add sensitive data to your profile or CV, such as health information, political opinions, or religion, unless it is necessary and you explicitly want to provide it.

3. Purposes and legal bases

We process account data to register and manage user accounts, enable sign-in, manage profiles, and provide portal features. The legal basis is performance of a contract or pre-contractual steps at your request under Article 6(1)(b) GDPR.

We process candidate data so candidates can create and publish a profile or CV that may be visible to employers. The legal basis is performance of the portal service contract and pre-contractual steps related to potential employment.

We process data to enable contact between candidates and employers, send messages, forward applications, and show candidate profiles in search results. The legal basis is contract performance and legitimate interests of the platform and users in establishing contact.

We process technical data to secure the system, prevent abuse, detect spam applications, protect servers, and investigate security incidents. The legal basis is our legitimate interest in protecting our infrastructure and users.

We process certain data to comply with legal obligations, especially accounting, tax, and other business obligations. The legal basis is compliance with a legal obligation.

4. Cookies and location

The site uses cookies and similar technologies in accordance with applicable law, including GDPR, ePrivacy rules, and German digital service rules.

Strictly necessary cookies are required for portal operation, login sessions, security, language preferences, and basic features. They cannot be disabled, and the legal basis is legitimate interest.

Location cookies may be used to determine an approximate location, such as country or city, so that we can show more relevant job postings and content. They are activated only where appropriate consent exists.

Analytics cookies may be used for usage statistics and service optimization, also based on consent where required.

5. Recipients and transfers

We share your data only where necessary to provide the service or where we have a legal obligation.

When a candidate applies for a job or makes a profile visible to employers, relevant profile or CV data may become available to registered employers through the portal.

We may share data with IT service providers, such as hosting providers, email providers, and other technical services that help us operate the portal. Where these providers process data on our behalf, we enter into appropriate data processing agreements under Article 28 GDPR.

We may disclose data to competent authorities only where legally required.

If data is transferred to third countries outside the EU/EEA, we use appropriate safeguards under GDPR, such as EU standard contractual clauses, unless the transfer is based on a permitted exception.

6. Retention periods

We keep personal data only for as long as necessary for the purposes described above or as required by law.

Account data and candidate profiles or CVs are kept while the account is active. When you request account deletion, the profile and CV are deleted or anonymized, except for data we must retain to comply with legal obligations.

Job application data is kept during the recruitment process and for a limited period afterwards, for example to demonstrate compliance with anti-discrimination rules, unless local law requires a different period or you have consented to longer retention.

Technical logs and security data are generally kept for a short period, unless longer retention is required to investigate security incidents.

Cookies are kept according to their stated lifetime or until consent is withdrawn.

7. Your rights

As a data subject, you have rights under GDPR, including the right to information and access, rectification, erasure, restriction of processing, data portability, objection to processing based on legitimate interests, and withdrawal of consent with future effect.

To exercise your rights, contact us using the details in this policy. You also have the right to lodge a complaint with the competent German data protection authority.

8. Data security

We apply appropriate technical and organizational measures to protect your data against unauthorized access, loss, destruction, or alteration. These measures include access controls, encryption where appropriate, backups, and regular review of security procedures.

9. Changes to this Privacy Policy

We may update this Privacy Policy from time to time, especially if laws, case law, or portal functionality changes. The latest version is always available on posao.de and applies from the date of publication.
